Switch TMS while the trucks keep moving
TruckWisely loads your drivers, trucks, customers, loads, and open invoices from the system you use now. Dispatch stays there until you compare the counts and choose the morning you switch.
The move
Four steps. You stay in control of the last one.
1. Map what must come with you
We start with your current system, whether that is McLeod, ProTransport, TMW, Axon, Alvys, or spreadsheets. Together we list drivers, trucks, customers, open loads, unpaid invoices, and the settlement history you still look up.
2. Preview before anything is saved
You export the files your TMS already lets you download. We match each column to TruckWisely, remove duplicates, and show you the result. Nothing is written into your company until you accept that preview.
3. Keep dispatching while we load it
Your office stays on the system you use today. We load the accepted preview into your TruckWisely company in the background. Open loads that appear after the export are added in a second pass, so the cutover day is not a surprise.
4. You approve the switch
Before anyone stops using the old TMS, you and we compare the counts: drivers, trucks, open loads, and unpaid invoices. A number that does not match gets fixed first. You pick the morning your team starts in TruckWisely.
What comes across
The records a dispatcher and a bookkeeper still need
We move what is in the export from your current TMS. If a field is not in that file, we tell you before cutover instead of inventing it.
- Drivers and trucksNames, unit numbers, and the VINs on the export
- CustomersThe brokers and shippers you invoice
- LoadsOpen loads, plus recent history you want to look up
- Invoices and paymentsWhat is still unpaid, and recent payments
- SettlementsPast driver statements included in the export
- Documents you chooseRate cons, licenses, and registrations you upload
While you operate
No one stops the board for the transfer
- 1TodayYou book a demo and tell us which TMS you run. We send the export list for that system.
- 2The working days afterYou keep dispatching as usual. We clean the files and you review the preview in your own company.
- 3The morning you chooseThe team opens TruckWisely. The old system stays available so you can look up anything we still need to add.
- 4The first weekWe sit with dispatch, accounting, and safety on the live screens, using your data.
How the transfer is protected
The same walls the product already uses
Migration files are used only to load your company. They are not shared with other customers. No system is perfectly secure, and we do not claim a certification we have not earned.
Your company stays separate
Records load only into your company. They are not mixed with any other fleet on TruckWisely.
The transfer is encrypted
Files move over an encrypted connection, the same protection used for the rest of the site.
Access is limited
Only people with a role you approve can see the loaded records. Passwords are stored as a hash, never as plain text.
You can see what happened
Imports are written to your audit log, so you can see what was added and when.
You still own the data
The old TMS stays yours. We do not lock you out of an export later.
You confirm before cutover
The switch happens after the counts match, not when a timer runs out. If they do not match, we stay on the old system until they do.
